Indeed Candidate Sync

How Indeed Smart Sourcing candidates who reply to your outreach arrive in Betterteam automatically — connecting your Indeed account, where they show up, why one might not come through, and disconnecting.

Indeed Smart Sourcing lets you search Indeed for people who fit your job and message them directly. When someone replies that they're interested, Indeed Candidate Sync brings them into Betterteam on its own — with their resume, when Indeed has one — so you can review, message, and track them alongside the rest of your candidates.

What is Indeed Candidate Sync?

Smart Sourcing candidates have not applied to your job. You found them on Indeed, you messaged them about a specific role, and they replied that they're interested. That's a lead, not an application, and it's worth treating differently:

  • They haven't answered your screening questions and haven't written a cover letter.

  • They replied to your message, so they may not have read the full job description.

  • The next move is still yours — these are people to follow up with, not applications waiting to be processed.

How much does it cost?

Nothing from Betterteam. Connecting Indeed Candidate Sync is included in your plan, and it doesn't require you to sponsor jobs on Indeed.

Smart Sourcing itself is a separate paid Indeed subscription that you buy from Indeed. It's what produces these candidates in the first place, so if you don't have it, there's nothing for Candidate Sync to bring across. To see what's included and what it costs, start at Indeed Smart Sourcing.

What you need before you connect

  • An Indeed employer account with Smart Sourcing. That's what produces the candidates in the first place.

  • Admin or owner access to that Indeed account. Indeed only grants candidate access to admins and owners. If you connect with a limited account, Indeed won't grant the permission we need and the connection will fail without saying why. Ask whoever owns your Indeed account to do the connect instead.

  • Jobs posted from Betterteam. Candidates are matched back to the Betterteam job you sourced them against, so source against jobs you posted here — more on that below.

How do I connect my Indeed account?

1. Click your avatar in the top-right corner of your dashboard, then click Integrations. Or go straight to dashboard.betterteam.com/integrations.

2. On the Indeed Candidate Sync card, click Connect Indeed Account.

3. Sign in to Indeed if you aren't already, and pick the Indeed employer account you want to connect.

4. Approve the access, and you'll land back on the Integrations page. The card now shows Connected, along with the Indeed employer and Indeed account you linked, when it was connected, and who connected it.

The connection belongs to this Betterteam company, not to you personally. Any of your team members can connect or disconnect it — there's no separate admin role on the Betterteam side. Connected by on the card shows who set it up.

What happens after you connect

Nothing else to set up. From then on, Smart Sourcing candidates who reply that they're interested are transferred to Betterteam automatically — usually within a few minutes — as long as Indeed sends a resume with them.

Two things to know up front:

  • Indeed only starts sending after you connect. People you contacted before you ever connected this Indeed account stay on Indeed. Candidates Indeed had already sent us — while you were briefly disconnected, say, or through another Betterteam account on the same Indeed employer — are picked up once the connection is in place.

  • It covers jobs you posted from Betterteam. We match each candidate to the Betterteam job they were sourced against on Indeed. If you sourced them against a job you created directly on Indeed, there's no Betterteam job to match them to.

Where do the candidates show up?

On the Betterteam job they were sourced against, in the same candidate list as everyone else, with a status of New. When Indeed supplies a resume it comes across with them, so relevance scoring, resume search, filtering, and CSV exports all work exactly as they do for any other candidate.

Sourced candidates are visible to your team exactly like any other candidate on that job. A few differences worth knowing:

  • The candidate list doesn't mark them. There's no separate label for sourced candidates in the list yet. To confirm where a candidate came from, open their profile — the Indeed Smart Sourcing logo appears with their resume. In a CSV export or a scheduled report, they show up as Indeed-SmartSourcing in the Candidate Source Campaign column.

  • The "Applied" date is the date Indeed sent them over, not a date they applied — they never applied. It's the same column we use for everyone, so the label is the same.

  • No new-candidate email. These people replied to a message you sent, so Indeed has already told you. Check the job's candidate list.

Why didn't a candidate come through?

If someone told you they're interested on Indeed but they aren't in Betterteam, it's almost always one of these:

  • The job isn't a Betterteam job. We match candidates to the Betterteam job they were sourced against. If you contacted them about a job you created directly on Indeed, there's nothing here to match them to. This is the most common reason by far — to have candidates flow in automatically, source against jobs you posted from Betterteam.

  • You contacted them before you connected. Indeed only starts sending once the connection is in place. If someone already replied, you can push them over by hand: find them on Indeed and use Transfer to ATS. That works for anyone you sourced against a job you posted from Betterteam.

  • They'd already applied to that job. If the person already has an application on the same Betterteam job, we don't add a second record — look for their existing application in the candidate list instead.

  • Indeed didn't include a resume. We need one to create the candidate, so a sourced candidate who arrives without a resume isn't added to the job. You'll still see them on Indeed and can carry on with them there.

  • Indeed re-issued the job's listing. If Indeed gives your job a new listing — which can happen when a job is reposted or edited — candidates sourced against the previous listing can't be matched to the new one.

  • The wrong Indeed employer is connected. Check the Indeed Employer row on the card. If it isn't the employer you source under, disconnect and connect again with the right one.

  • A different Betterteam account is connected. The job has to belong to the same Betterteam company that's connected to that Indeed employer account.

Reconnecting the same Indeed account recovers anything Indeed had already sent us before you disconnected — it arrives shortly after you reconnect. Replies that came in while you were disconnected won't be recovered, though, because Indeed isn't sending to an account it isn't connected to.

What if the same person applies later?

You end up with one record, not two.

  • If you hadn't given them a status yet, their real application takes the place of the sourced record. The sourced entry disappears from the list — it's the same person, now a genuine applicant.

  • If you'd already set a status — Liked, Contacted, and so on — we keep your record and your status, and hide the duplicate application so your list stays clean.

Can more than one Betterteam account connect to the same Indeed account?

Yes. Each Betterteam company connects on its own, gets its own candidates, and can disconnect without affecting the others. Matching is still per company, though — a candidate only appears in the Betterteam company that owns the matching job.

How do I disconnect?

From Betterteam: go to Integrations in your account settings and click Disconnect on the Indeed Candidate Sync card.

From Indeed: sign in to your Indeed employer account, open ATS integrations, find Betterteam, and remove it in its settings. We re-check with Indeed every time you open the Integrations page, so the card switches itself back to Not Connected.

Either way:

  • Candidates already in Betterteam stay exactly where they are — nothing is deleted and nothing stops working.

  • New Smart Sourcing replies stop being transferred.

  • Reconnecting the same Indeed account picks up where you left off.

Connected the wrong Indeed account? Click Disconnect first, then Connect Indeed Account again and choose the right Indeed employer. Disconnecting matters — skip that step and Betterteam stays listed under the old employer's ATS integrations on Indeed. Candidates already in Betterteam aren't affected either way.
